Faxing/E-Mailing PO\'s

Our current process is to print a purchase order then fax it to the vendor. We would like to automate this process to save time and avoid stockouts (from buyers that can't remember to do it - but that's another story!). Does anyone know of a third party vendor that we can use for this process or how difficult the process is? We are also looking at EDI, but from my limited understanding, it is very complex to set up EDI and your vendors also need to have it.

Any help would be greatly appreciated!

We're using Solution 400's S4I Express with great success for emailing
invoices, statements, etc., good support, easy to use and versatile. Might
be better at emailing a PDF form though as it does not have any built in fax
software, it uses AS400 native stuff.

Hi Rich...
you could do a couple of things... you can set up EDI using a
translator like Gentran from Sterling Commerce or Trusted Link from Inovis
(Formerly Peregrine, Harbinger, Premenos)... or Xtol. this would allow the
purchasing people print their purchase order and with the proper processing
options from the EDI tab on the R43500 filled out it will automatically load
the system 47 files in JDE. then the translator can automatically pull the
data (once it's initally set up) and send it out. It can be as automated as
you want.

Another option is to take fax software have it set up where it looks at
flags in the statuses or it is flagged by the running of the R43500 and then
splits out your purchase orders by vendors (if you run a bunch of vendors at
one time) and fax them off to the individual vendors.. not as time
consuming to set up as EDI, but can be more expensive if you are doing a lot
of faxing. There are a bunch of fax programs out there like Fax Sr. I
believe Optio even does it...

There are a variety of document management products available (e.g. Optio, Formscape, etc.) that could probably do the job faxing for you. We use Optio in conjunction with RightFax to fax out PO's out electronically. Optio also has their own fax product -- we had been using RightFax before we started using Optio, so we integrated the two. Anyway, our buyers print their PO's, and then can either print them to a printer (if they need to send along with other physical documents) or can fax them electronically (no more standing at the fax machine). We also use Optio to update a "faxed" flag in our Oracle OneWorld database to indicate that the PO has been faxed. Then we run a weekly exception report that shows open PO's that have not yet been faxed. This catches all those PO's that the buyers forget to actually fax out.

Any system you choose will require an investment, but in our case, it has paid for itself MANY times over. Good luck in your search!

Optio will also allow you to email your purchase orders. Or do all 3 print,
fax or email.
