Hello list - I have been asked to help prepare the W2 mag media diskette.
Someone else went to the class and I am a little behind the times. I don't
see anything on the menus regarding preparation of a W2 diskette, unlike
the SUI option. I only see tape stuff, but I don't want to send tape.

We went thru the tape procedures but I don't find the file name to transfer
the resulting file to diskette. Is there a KG paper somewhere that talks
about this? (I have searched somewhat but haven't found anything yet.)

We are A73 cume 12, and have applied the year-end W2 update.

Any help appreciated.

Hello again - all solved - thanks in advance to anyone who responded
between my original post and now.

It was the F06765 that I was looking for.

The diskette file names are T, followed by the alpha state code,
followed by zero, followed by the numeric state code. An example would
be TIL014 for Illinois, or TNC034 for North Carolina. Our files are in
JDFOBJ. From there we transferred the file to the desktop (using Rumba
file transfer) and then copied that file to diskette (click and drag, or
copy and paste).

Hi David,

This is really very simple - but like many JDE areas very confusing.
The file format has changed since last year - for us on A7.3cum10 the
previous program no longer exists, which foxed us for a while. The new
Federal and State W2 files are in the standard MMREF-1 and MMREF-2 format.
Menu G072475 contains all the relevant options to build the files.
The confusion is that there is one menu option to build the MMREF-1 file,
and another menu option to copy the file to tape, but no option to copy it
to diskette. The reason for this is that it isn't necessary - to copy the
file to diskette, just download it using your regular AS400 to PC file
transfer - we downloaded directly to the diskette.
For the State W2, you need option 6/G072475 to build the file. The process
prompts you for the 2 character state code (eg: AZ = Arizona) and the file
created is labelled F06765nn (where nn is the 2 digit state id (eg: 04 =
Arizona).
Note: Unlike SUI where the file always has the same label, therefore you
have to create the file for one state and then download, the W2 file has a
different file suffix for each state, so you can build them all if you want
and then download.

I believe the IRS no longer accepts diskette reporting of W-2's. That is
probably why JDE has dropped diskette reporting as an option. You would
need to check with SSA (the Magnetic Media Computing Center in West
Virginia), or maybe your payroll department has a copy of the MMREEF
reporting booklet that details the reporting specs.

After you build a magnetic media workfile, you must download
it to third-party software (such as PC-based software) to create a =
diskette.
To download a workfile from the AS/400 to third-party software, you =
must
have customized programming. =20

File names
* The file name for Federal filing will be F06765 in the library you
created for this year's data, W2LIBxxx, where xxx is your W-2 ID for =
this
year. =20
* The file name for State filing will be F06765yy where yy is the
numeric state ID (file is in the same library).
