Back to this old topic, we have now run some GL purges in CRP and found some
interesting points that I could not find documented anywhere, and which you
might find useful.

The GL purge is performed in 2 stages:

Firstly, program P09811 needs to be run to summarise data that you are going
to drop from the F0911 file. The DEMO versions do not contain any date
selection, just a processing option which is the "number of months detail to
retain". It appears that this assumes that there are 14 months in a year,
even if you do not use all 14, therefore if you specify to retain 24 months
in detail, that is effectively 1 year and 10 months. I assume the program
calculates the cutoff period based on the current month and the number of
months to retain. This program determines which records to summarise
(posted only), flags them as having been summarised (field GLSUMM="Y") and
creates Bought Forward records (GLDCT="BF") with the same total.

The second program P09911 prompts you to select the year to be dropped (1
year at a time) and deletes all records for that year (other than BF) from
the F0911, copying them to file F0911yy in your production library.

Here is the crunch! If you only summarise part of a year, due to the fact
that you specify a number of period to retain in detail, the DEMO version of
F09911 does not select only those records which have been summarised - it
selects everything for that year except the BF document type. Therefore,
your ledger will be out of balance - oops!

What we have done is:

(1) On the F09811 summarisation, we have added a date selection so that no
matter what number of periods we are to retain, only F0911 records prior to
the year we want to purge are summarised. We have reduced the number of
periods so that we can guarantee that full years will be processed.

(2) On the F09911 purge, we have added the Summarisation flag to the data
selection, so that only summarised records are purged.

We are still running tests - takes forever just to copy the F0911 let alone
to run the summarisation, but I think we have it licked now.

Tony,

There have been various posts on purging etc. Please note that there is no
need (from the JDE perspective) to summarise transactions for prior fiscal
years as part of the purge process. Summarisation is only required for
current fiscal year. In my opinion, summarisation is a carry-over from the
days when disk space was at a "premium" and users (mostly IT managers)
wanted to reduce the size of F0911 in the current year. In my experience
(9-10 years of JDE consulting) keeping current and prior fiscal years F0911
records has usually been more than enough. In fact I usually recommend that
purging be undertaken at about the start of fiscal period 7 thus resulting
in the retention of a minimum of about 18 months detail (current year = 6
mths + prior year). The ledger is not really out of balance - it's just
that you cannot find the detail to support prior year balances. JDE will
not allow you to purge current fiscal year transactions unless they have
been summarised, this is to ensure the Integrity Report "Balances to
Transactions" only reports real integrity problems in current year. JDE
will allow you purge anything and everything related to prior years from the
F0911 file.

Remember that F0902 purging is mutually exclusive of F0911 purging, hence
you could keep 4-5 years balance data and only 18 months detail. Mostly
accounting people, in my experience, are interested in current year detail
but often want anything up to 5+ years balance data for analysing trends.
