Correction Item Ledger

Hello all,

Our item ledger is a mess. This happened due to several integrity problems. If we now start the as of processing and run the report we get several thousands records.

Our question is: After a complete count of our stock and after the corrections are made. Can we empty the item ledger file and put 1 line for each item/location/bu back in with the correct quantity?? We accept that we don't have history in our live environment.

will this action cause any other problems in our system?

Hello,

We are on XE sp 16.1 mssql70.
We dont use lotnumbers, and we have approx 10000 item numbers and 5 bu with stock. some are with advanced warehousing and multiple locations. and some bu only have 1 location.
I hope this is the information you need.

You have not written the costing method you use.

Well I have done this with one of my previous clients and it works for sometime because there is some basic flaw in the set up and it messes it up again once you have cleaned. So there is no point in recreating every week.

So to answer your question, You could recreate but you need to check the transactions set up which are being updated on F4111.

The cost method we use is that we have a 07 component where the price is in. This is/ or has to be the same on every different BU.

What do you mean be recreating the ledger every week??? Once we create it new we act as if we go live on that day. So every receipt and sales will than be ok.

One approach that you could take would be to perform a physical inventory,
strictly following the procedures in the manual. This will make your
quantities correct and put a PI record into the cardex for the physical
inventory.

In your reply to another question you said that your Inventory Costing method
is 07, Standard Costing. Getting your quantities correct through a physical
inventory will also then cause your on hand inventory value to be corrected
to standard cost.

This is where your accountants would have to take action. They would need to
analyze your past transactions and integrity issues to see what affect they
had on the General Ledger. They will probably need to make an adjusting
entry after your physical inventory generates a GL batch to revalue the
updated inventory based on standard cost.

This will give you the three things you need, correct inventory quantities,
correct inventory value, and a balanced, correct General Ledger. All the old
entries would remain in the Cardex, but the physical inventory records in the
Cardex would be a clear cut off point between the problem time and the
ongoing correct inventory.

This is all dependent upon having previously correcting all the problems
causing issues in inventory. This procedure is a tried and

Thanx for your reply. But I have again some questions.
Where can I find that manual about physical corrections or which program is it.
After we have done that we still have a ITEM LEDGER CARDEX which is totally corrupt. If we do as of processing and than run the integrity report we get thousands of differences which cannot be analysed. That is the reason that we want to correct the item ledger cardex. So that in the future we can run the report daily and look after integrity issues.

We had similar problems (B733.2 too) and we fixed it thus: (On a sunday, last working day of the month)

1. Extracted the on-hand quantities per Item/Branch/Location/Lot to an Excel file.

2. Reversed the quantity in Excel and imported it into the Inventory Adjustments application. This adjustment gave us on-hand quantity 0 in F41021

3. Ran an access query to summarize the Item/Location/Lot quantities of all transactions in Item Ledger and to insert a "bogus" IA (Adjustment) record in F4111 to bring the totals to 0

4. Ran another Access query to summarise the extended cost (ILPAID) of all Item/Location/lot records in F4111 and inserted an "IB" record to bring the total extended cost to 0 for all item/location/lots

5. Finance made manual postings to ensure that the inventory value was 0

6. Now the F41021, F4111 and the Inventory accounts were all 0. We ran the As-Of (Complete ReGeneration + As-Of Update) and the integrity reports to make sure that everything really was fine.

7. Processed a cycle count, the correct inventory was adjusted to stock

8. New As-Of generation and voilá.

9. While we were at it, we also removed all the commitment quantities (Access query to bring them all to 0) and ran the repost UBE:s

It might help if you relate the core issues that caused your cardex to become
corrupt. What transactions were involved? Did the corruption involve
Advanced Warehousing? Are you in a manufacturing environment?

Are you running both the R41543 Item Ledger/Account Integrity Report and the
R41544 Item Balance/Ledger Integrity Report? What are the errors showing on
these two reports.

You mentioned As-Of processing, have you been running the Item Ledger As Of
Generation Program (R41542)?

Have you ever purged any records from your cardex?

Have all journal entry batches been posted on your system?

The Physical Inventory procedure is covered in the Inventory Management
Manual and is on the G4121 menu.


If you haven't read white paper ODS-01-0057, take a look at it. Look at the
example it gives of integrity problems caused in a standard cost environment
by people overriding the costs on transactions. Is there any chance that
this describes your situation?

I haven't thought this one through completely but another possible solution
for you would be to:

1. Complete a physical inventory
2. Create a file of your inventory items, locations, and on hand quantities
based on the physical inventory.
3. Wipe out your cardex and as-of files.
4. Use the previously created file to generate IB records for each item and
location in the cardex.
5. Run the various repost jobs for inventory commitments (I think these are
all of them)
R42295 Repost Active Sales Orders
R43990 Repost Open Purchase Orders
R3190 Repost Open Quantities

Another worst case alternative would be to create a new company and branch
plant in JDE, do inventory transfers to move all your inventory to it. This
would create a fresh set of cardex records in that company. Then export your
GL records and use the F0911Z1 to pull them into the new company and then
begin running your operation through the new company. That is the short
version, to actually do it would be much more complex, but it is an option.

Also try to have fun and view it as a learning experiance!
