AB Activate/Deactivate records

Hello All,

I'm looking for a way to 'flag' address book records (ie customers, vendors) as
inactive.
Thus preventing me from using these address numbers in any future
transactions!!!!


Any Ideas??? Possible customization routes???
JDE of course was kind enough to enter a SAR for 'Enhancement-Reconsider in
Future'

We use one of the category codes in AB and set it to active = Y or N. We then use data selection on reports and programs where the cat code is not equal to 'N'.

Sean,

We change ALPH alpha name to DO NOT USE and maybe "see vendor 36589". Makes
it hard to write a check/send an invoice. Could also change MLNM mailing
name and make it hard to send a check/invoice. Could also change the search
type to something like Z, "ex-vendors/customers".

We are A7.3 but here is what we did:

1. Wrote a custom program to set hold payment flag in to Y(es) if the
supplier was last paid two years ago. We run this program weekly from
sleeper.

Note: This stops transaction during voucher entry. The a/p supervisor must
change the hold payment flag if the entry is ligitimate.

You could create a special Business Unit for inactive
records. Add that Business Unit number to each
inactive address book number and then utilize row
level security to hide the records associated with
that Business Unit.

I've never done this but, you could also (I believe)
create a special search type for inactive records and
perform field level security.

I believe that if you turn off the AR and AP flags in
the Address Book, the address will not be able to be
used in applications for invoicing or payment.

For Sales Order Processing we added an entry of 'N' (neither Ship To nor
Bill To) to the Billing Address Type. Using this stops SOE dead in it's
tracks - without modifications - if a user tries to use the Address Book
number on a Sales Order. It will also stop releases from Blanket Orders.
Any orders already in the system will continue to completion as the software
only checks the 'Type' at Sales Order Entry. All reports and inquiries work
as normal.

We used to do this but as we found they were still being used. Required
Credits and recharges. A pain!

Search Type can stop users seeing them but if they are told or 'know' the
number they can still use it.

Sean,

There are numerous methods as mentioned in previous e-mail. While no one solution is perfect, there are several things to consider to make your 'inactive status' more meaningful.

1. Is the record to be inactivated a duplicate?
2. Do you need to keep historic information on the address record (Invoiced/vouched to date)?
3. Has the record been used for subledger reporting?
4. How is the address book currently being maintained? By multiple groups?
5. If I remove/change this address record, what history reports (Distribution, Logistics, Financial) are effected by the change?

It is not a good idea to remove or change a record when records exist and are queryable. Auditors and data miners always ask why there are records with no address information or information has changed from address book files to header files.

And finally, never remove or change address records for vendors until after 1099 processing is completed after calendar year end. The IRS can get nasty about missing information.

If this issue is well defined and agreed to, you'll have fewer problems in the future.

The flags being referenced are in the additional tab when adding, changing or after selecting an address record. These do not prevent invoices or vouchers from being generated except in speed entry programs. If they do, the business function has been modified.
